What has made digitisation more urgent is that parts shortages and fragmented supply chains have turned sourcing into an operational risk. Fleet Maintenance reported that, in the wake of pandemic-era disruption, some fleets were stripping damaged trucks for reusable components instead of sending them straight to salvage yards. For fleets, the selling point of a good platform is that it compresses the hunt for a part into something closer to a controlled workflow. Fleet Maintenance described how Ivan Abarca, maintenance manager for Home Run’s Maryland hub, uses FleetPride’s e-commerce system to support a fleet of 50 power units and 250 trailers running from New Jersey to North Carolina. The platform gives access to more than 410,000 parts, and Abarca said the detailed descriptions and images help technicians confirm fitment rather than rely on guesswork. The infrastructure behind that experience is broader than a simple online storefront. When FleetPride launched its new site in October 2021, it put more than 176,000 products for Class 6-8 vehicles and heavy-duty trailers online, with search by part number, cross-reference, year, make, model, engine type or VIN. The company also built a “My Fleet” portal so customers could store vehicle records, save favourite items, spot alternatives and check “exact fit” and live availability before placing an order. The same logic applies in franchised dealer networks, where the data layer is even more formalised. MOTOR said the U.S. automaker service-parts business generates more than $70 billion in annual dealer parts sales, with the electronic parts catalogue, or EPC, remaining the core system because it provides vehicle-specific part numbers for workshop, wholesale and retail orders. E-commerce tools increasingly sit on top of that foundation, embedding EPC data inside online sales systems so that buyers do not have to translate a visual match into a verified part number themselves. Consultants and software suppliers argue that the gains go well beyond fewer ordering mistakes. McKinsey said digital maintenance, repair and operations procurement can improve contract compliance, cut inventory by up to 30% and reduce costs by 15% to 20%. In one example, a global metals company used text analytics to identify duplicate stock-keeping units and trimmed overall MRO spending by 20%; in another, a materials company reduced MRO inventory by 40% while improving working capital by 20% to 30%. The point is that cleaner part data and better forecasting do not just speed up emergency buying, they also expose how often businesses are paying different prices for the same item or hoarding stock because nobody trusts the records. That data problem is formidable because industrial catalogues are vast and old. CDS Visual said manufacturers commonly manage between 50,000 and more than 500,000 SKUs spread across decades of model changes and compatibility quirks. Its argument is that digitisation works best when engineering data such as CAD files, bills of materials and part records are connected to commerce tools, including interactive 2D and 3D diagrams. The company also said AI-led visual search can now identify spares from a photograph or serial number capture, a useful step when a technician has a worn component in hand but no reliable description. The challenge, though, is not only technical accuracy but shared data across suppliers. Fleet Maintenance reported that VIPAR’s network spans 860 locations run by more than 230 independent companies across North America, and that its PARTSPHERE FLEET system uses master-data management and algorithms to match items by name, manufacturer and internal part number, even incorporating new numbers as they appear. That kind of cross-reference engine matters because retailers and distributors now compete on the quality of their compatibility and availability data as much as on list price. The practical discipline for operators is less glamorous than the software language suggests. TechBullion argued that the most reliable starting point remains the asset record itself: serial number, engine variant, the number stamped on the failed component, plus photographs of labels, connectors, ports and mounting points, followed by a record of what was finally fitted and how it performed. In other words, digital procurement earns its keep when one successful repair becomes reusable knowledge for the next breakdown, instead of disappearing into somebody’s notebook or memory.
